General Conditions
The following conditions must be satisfactory prior to Advance Vehicle Hire handing over a vehicle to you. If these requirements are unsatisfactory when collecting the hire vehicle, we reserve the right to cancel your booking and release the vehicle back on the fleet to be available for another customer. In these circumstances you will be charged a cancellation fee and one day vehicle hire rate. By all means we reserve the right to ask for additional identification, where we would have reason to consider that the documents you provided are unsatisfactory and retain the right to refuse the hire of Advance Vehicle Hire’s fleet (vehicles) if we are not satisfied.
If all your documents and checks are satisfactory, at that point you will be given the terms & conditions to read and sign, once signed you will pay the deposit of the hire vehicle and the hire vehicle price for the hire period. When payment is taken the deposit will be pre- authorized which means the deposit is put on a temporary hold against the available balance in your bank.
Depending on the card issuer the pre-authorization can take up to 10 working days before the balance is updated and reflected in your account. To some banks such Halifax, a pre- authorization can look as it is a charge pending as it reduces the balance in your account
1) Advance Vehicle Hire’s Identification Requirements
You will need a valid full driving license (maximum points allowed 6 depending on the endorsement code)
DVLA Check Code
2 x Proof of address dated within the last 4 weeks of the vehicle hire date (bank statement, credit card statement, utility bill or council tax bill)
Copies are NOT allowed
Private Hire Vehicle Drivers
You can only hire a vehicle for private hire with a private hire vehicle license, be minimum 25 years of age, have held a full driving license for 5 years, not been disqualified from driving, no IN10 violations and has maximum 1 fault claim logged against you within a 2 year period.
Approved Driver
Only the main driver(customer) who signed the vehicle hire agreement and any drivers that were added to the vehicle hire agreement are approved and insured to drive the vehicle provided by Advance Vehicle Hire. Approved driver (customer) will have read, agreed and signed Advance Vehicle Hire’s terms & conditions and met the identification requirements to be given a vehicle on hire.
Unapproved Drivers
You(customers) cannot drive the hire vehicle provided by Advance Vehicle Hire if you have not met the identification requirements, read, agreed and signed the terms &
conditions. You will be breaking the UK law as you will not be insured if you are an unapproved driver. By signing the terms and conditions customers agree to NOT drive under the influence of any substance or liquid that will/ may impair their vision or ability to think and/or react. (i.e. no alcohol, drugs or certain medication whether prescribed or not).
Cross Borders
Any vehicle hired out by ourselves, Advance Vehicle Hire is NOT allowed to be driven outside of the UK. The only borders that can be crossed is England, Wales, Northern Ireland & Scotland.
Vehicle Inspection
The vehicle that you have hired is your responsibility. Advance Vehicle Hire employees inspect the vehicle before keys are handed over to the customer. The customer is responsible to inspect the Vehicle for any pre-existing Damage before driving the Vehicle at all. If you find any, you must tell us before taking possession of the Vehicle. You will be responsible for any Damage not notified to us before taking possession of the Vehicle.
If the vehicle was hired and it is dark outside, the vehicle can only be inspected to a certain aspect and will rely on the customer(hirer) to report any pre-existing damage within 24 hours of the hire agreement beginning. If the customer does not report any pre-existing damage we have right to believe the vehicle was then damaged by the current customer(hirer).
As stated above it is the customers responsibility to inspect as well as report any pre-existing damage.
Vehicle Hire Period
The hire period starts on the date and time indicated on the Vehicle Hire Agreement and ends on the indicated date and time. The Vehicle Hire Agreement has come to an end when the vehicle has been returned and parked on the Advance Vehicle Hire location and the keys have been handed back to an Advance Vehicle Hire employee where the vehicle will be inspected and checked by us.
If you return the vehicle early (before the date stipulated on the hire agreement) it will be terminated. If you do return the vehicle early, you may or may NOT be entitled to refund of the unused hire vehicle. If you are entitled to a refund, there would need to be 3 days or more left of the vehicle hire period to calculate how much you will be refunded after the deduction of a cancellation charge and one day vehicle hire charge.
Extensions
The vehicle hire period may be extended only if requested by you. If you get an extension the price of the vehicle hire is not guaranteed to be the same as the previous price you paid plus an additional deposit may be required and an appropriate method of payment must be taken. If you require a vehicle for up to 28 days an extension will more likely be agreed unless there is reason to believe otherwise.
The Vehicle Hire Period cannot exceed 28 days. If you require a hired vehicle for longer than 28 days then you must return the hired vehicle and enter into a new Hire Agreement.
Glass & Tyre Cover
Glass & tyre cover is a waiver that can be purchased only at the start of hire to cover the customer(s). From £9.99 per day you can protect yourself against liable damages. Provided that the hired vehicle has been used in accordance with our terms & conditions and the law. This additional cover exempts you from paying for damage to punctured tyres, passenger windows, windscreen and rear windows. The customer is liable if there is a hole in the tyre or a curbed tyre. So, for peace of mind, purchase Glass & Tyre Cover.
Misfuelling
Putting the wrong fuel in the hire vehicle could be disastrous for the engine as well as the customers pocket. If you have misfuelled DO NOT START THE ENGINE. Misfuelling comes with a minimum charge of £295. Call the company 24 hours mobile number if you need assistance.
Refuelling
If you return the hired vehicle with less than full tank of fuel or the agreed fuel, we will refuel the vehicle and the refuelling charges will apply for the costs we incur and the service we provide in doing so.
Our costs include purchasing, storing and managing our own fuel supplies, or refilling the tank off site, plus manpower and administration costs. Our service, of course, saves you from taking the time to find a local fuel station and refilling the vehicle yourself or if you have forgotten to fill the tank then the refuelling charge applies.
The refuelling charge for your rental will be calculated as follows:
any necessary top-up of fuel will be charged at £0.50 per litre above the national average litre price published by the RAC at the following website address: https://www.rac.co.uk/drive/advice/fuel-watch/ plus, if applicable, a refuelling surcharge
If you return the hired vehicle back to Advance Vehicle Hire with more fuel than the start of your vehicle hire. You will NOT be reimbursed for the fuel.
Damage Protection Programme
Damage Protection covers the cost of any repairs to damage on the vehicle caused be yourself (without purposes) or a third party.
Theft Protection
Theft Protection covers the cost of replacing the vehicle or its parts, should it be stolen. All drivers are liable for a damage deposit.
Collision Damage Waiver
Collision Damage Waiver is a waiver that is chargeable, lowers your excess and removes the drivers responsibility to a part of the vehicle (not whole vehicle) in case of damage or theft. CDW is mandatory in Great Britain unless the customer is from the US or Canada and has insurance cover through their own credit card (not debit card). Loss Damage Waiver also includes Glass & Tyre cover.
Under the Damage Protection Programme you are only responsible for the damage and our reasonable administration fees, which arise when we deal with these matters. However, you still have to pay an amount up to the damage excess amount every time you damage the vehicle or any replacement vehicle and if any replacement vehicle is lost or stolen. If the accident is third party's fault, we will try and recover the cost of the repair to our vehicle from the other party. If we are successful, we will be able to refund all or part of your damage deposit at that time.
Termination of Hire Agreement
We reserve the right to terminate the hire agreement at any given time, if we have received information or suspect that you(customer) or any approved driver has breached these terms & conditions you have agreed and signed. Termination will not affect Advance Vehicle Hire’s right to collect any outstanding monies owed or billed.
Age Restrictions, Requirement and Exceptions
Minimum age: 23 years old with valid driving license of minimum 2 years experience, 2x bank statement or utility bill dated within the last 4 weeks of hire booking date (proof of address has to be registered at the same address as your driving license), DVLA driver check code and a debit card and/or a credit card. We do not charge the young drivers surcharge
Traffic Violations & Congestion Charge
An administration fee of £35 will apply per parking ticket, traffic violation and/or congestion charge fine.
Dartford Crossing
The Dartford charge is customers responsibility to pay. If the charge is not paid reasonable administration fees will be applied, which arise when we deal with the issue.

Animal Policy:
We do not allow any animals other than Assistance Dogs to be transported in our vehicles.
We do not supply dog guards or any other form of animal restraint for our vehicles. If you are travelling with an Assistance Dog you are therefore responsible at all times for the behaviour, safety and well-being of your dog. This responsibility includes ensuring that the Assistance Dog is suitably restrained at all times so that it remains safe; it does not distract the driver or cause risk or injury to you or any other passengers sharing the vehicle with you.
We do not under any circumstances accept liability for damage suffered by the vehicle or for injury caused to the Assistance Dog or to you or the driver or to any passengers as a result of your failure to keep the Assistance Dog appropriately restrained and/or controlled.
In addition you are required to return the vehicle to us in the same condition as it was at the start of the Hire Period (fair wear and tear excepted). If it is returned to us in a dirty or messy and/or damaged condition to the extent that it will require specialist cleaning and/or repair before it can be rented to the next customer then you will be liable for the valet or special cleaning charge and for any Light Damage or Serious Damage repairs
Late Arrivals Policy
Reservations will be held for 1 hour. We reserve the right to cancel a booking anytime after 1 hour, unless a customer has called ahead. We are busy and cannot always cancel a booking made, hence bookings that are not cancelled by customers and are still reserved will be applicable to a charge of £50.
If you arrive at the business location of Advance Vehicle Hire after your reservation has been cancelled, we will try to provide a vehicle for you. We are not obliged to provide you with a vehicle.
Late Returns Policy
If the customer is running late to return the hired vehicle a 30 minutes grace period will be given automatically, whether the customer has called to inform any of the Advance Vehicle Hire staff or NOT. If the customer(renter) has exceeded the grace period of 30 minutes then a extra day will be charged. An extra day charge depends on the daily price of your rental at the time of hire. The vehicle will still need to be returned regardless of the charge.
Cancellations/No Show
When a booking is made and you need to cancel (prepaid. It is the customers responsibility to cancel the booking or otherwise we will believe the vehicle will still be on hold for the customer and if the customer has not cancelled a cancellation and No show fee will be charged of £50 or 25% of hire depending which amount is greater.
Additional Driver
You can add an additional driver to your rental. An additional drivers charge £14.99 per day. Additional drivers must meet the Advance Vehicle Hire qualifications and requirements with additional form of I.D, to be added to the policy.
Non Smoking Policy
Smoking is PROHIBITED in all of Advance’s vehicles. A maximum cleaning charge of £115 will apply when smoking has occurred in the car. i.e. the car smells of smoke, cigarettes, cannabis (even medicinal uses is prohibited), burns in the interior, signs of ashes, etc
Lost Property:
Any property placed in the car or van is at your own risk and we take no responsibility for it.

In the event that we are unable to provide the vehicle that you requested, due to mechanical issues or late returns from previous customers, you will either be offered an upgrade (if available) or the option to take a similar vehicle of the same category with a refund of the cost difference that you paid for your requested model, or a full refund.

All prices include VAT unless we tell you otherwise.
Fines & Charges
You are liable for the payment of all charges, fees & costs arising from any congestion charge, bus lane penalties, speeding fines, road traffic offence, or parking offence involving the vehicle, including costs from the vehicle being clamped, seized or towed away & any charges/costs (or failure to pay) of the appropriate organisation if & when they ask for these payments together with our administration fee.

Provide validation of their driving record each time they hire a Vehicle from us to drive in the UK. To do this they will need to use the DVLA online service “Share Driving Licence” (at https://www.gov.uk/view-driving-licence) to view and create a one-time passcode. To obtain the passcode the driver will be required to supply his/her driving licence number, National Insurance number and home postcode

Rental Terms – Damage Policy
Out Of Hours Information Out of Hour Pick Up
If a customer would like to hire a vehicle before opening hours, from 7am, it is possible just call the company out of hours phone number 0333 8802651
A no show charge of £15 will apply if the customer fails to collect the vehicle
Out of Hours Return
If a customer needs to return a vehicle out of hours there is a charge of £50
To arrange an out of hours return just call the company out of hours phone number

A no show charge of £30 will apply if the customer fails to turn up for out of hours return for the agreed time. The charge will apply 30 minutes after the agreed return time
Mileage Limitation Information
Some Premium vehicles and luxury vehicles have a mileage limit per day, per week or per month, depending on the length of rental. If the customer goes over the mileage limit then you will be charged at £0.30p per mile thereafter for excess mileage.
Dispute Resolution
If you need to make complaint please email info@avhire.com and your complaint will be passed on to the managing director, who will respond to you directly. All complaints and disputes will take up to 3 days to respond and start the process and up to 21 days to resolve. Any evidence will need to emailed over and facts will be considered.
Governing Law
Which laws apply to the Hire Agreement and where you may bring legal proceedings if you are a consumer. This Rental Agreement is governed by the laws of England. We or you may bring a claim either in the country where the Vehicle is collected or in your country of residence.
